California Distributor Reduces Costs with the Help of Electronic Document Imaging System

LIVERMORE , Calif. An automotive and heavy-duty replacement parts distributor in Napa, Calif., reports that it has significantly reduced the costs associated with back-office operations while improving business efficiency by implementing an advanced electronic document imaging system from Activant Solutions.

Bert Williams & Sons, a multi-location distributor serving the Northern California market, said it has experienced a “huge cost savings in salaries and benefits” as a result of its implementation of the Activant Document Imaging solution. According to Karen Rubio, the company’s chief financial officer and information technology manager, 80 percent of the distributor’s customers now receive monthly statements by email rather than conventional mail. The system also allows the company’s customers “24/7” access to important account files via the Internet. In addition to customer files, Rubio’s staff also uses Activant Document Imaging to store payroll time sheets, quarterly reports and W-2 forms, among other formerly paper-based items.

Activant Document Imaging is a suite of modules that enables distributors, jobbers and other businesses to reduce the amount of paper they must store while increasing customer service and general business management efficiency. It can also help eliminate the time required to generate, send, store and retrieve invoices, statements and other paperwork.

Bert Williams & Sons reduced its back-office staff from five full-time employees to two full-time and one part-time position after implementing the Activant Document Imaging solution. The distributor now can run 1,000 monthly statements in 45 minutes, compared to the 30 hours of labor previously required, according to Rubio. Moreover, the distributor has significantly reduced postage and paper acquisition costs, she said.
